A document request system is an instance of software or a technology that makes it easier for the university to request, track, and manage documents. The retrieval of documents is streamlined, resulting in efficiency, accuracy, and security. The technology is intended to centralize and automate document requests, doing away with paperwork and lightening administrative workloads. A document request system's main objective is to make it possible for authorized users to submit requests for certain documents or information. Documents of all kinds, including Transcript of Records, authorization, certificates, and other pertinent files, may be requested in response to these requests. Designed with a secure, uner-friendly interface, the School Document Request System with OTP Email Notification for TUP-Manila is a cross-platform web-based application that enables users to request documents and track the status of their requests. It allows students and alumni to request a document from the registrar's office. The project design of the study focused on developing a web application that consolidated a secured document request with tracking purposes. It included features such as tracking number for users whether students or alumni, dashboards and reports, OTP code creation for email verification, and generation of summary reports. The project development's process of setting up the system was achieved through the use of programming languages such as PHP, JavaScript, HTML, and CSS for the interface, and the MySQL/Phpmyadmin, PHP/Query, and XAMPP as the backend server database schema. Additional tools that helped progress the system includes the utilization of PHP Mailer with SMTP Protocol to send OTP codes to emails, POP3 to receive the emails, and Auth for the login mechanism. For the project development, the Agile model was adopted as a pattern for the process. The system will confirm that the user is not a member of the TUP community before allowing them to just browse. The user should register using a personal email associated with an alumni account or a TUP email address. The system was configured to limit and verify access to the developer's computer. Consists of the home page, student slide, alumni slide, and registrar slide and the home page show how to use the system and who can access the system. The overall test yielded results with a weighted mean of 3.61, rating the system as Very Good. Software's usability, dependability, and usefulness were examined and successfully enhanced for the ease of utilization of all the constituents of Technological University of the Philippines-Manila.--Author's Abstract |
